Office Administrator
Location: Warszawa, close to the metro station Ochota
The role of this position is to create and maintain a pleasant work environment ensure a smooth proper flow of office procedures and employees and be the main contact to coordinate communications with external partners, accounting, and lawyers regarding the questions and requests related to Admirals employees.

Your daily activities as an Office Administrator will be:
  • Coordinating office activities and operations to secure efficiency and compliance with company policies;
  • Overseeing general office maintenance which includes supplies, equipment, cleaning, repairs, security, insurance, etc.;
  • Being responsible and main contact to coordinate communications with external partners, accounting, and lawyers with the questions and requests related to Admirals employees;
  • Maintaining office front desk, greeting visitors, answering phone calls, mailing, proceeding invoices, scheduling meetings and appointments;
  • Organizing office layout and workplaces;
  • Maintaining office operations and procedures; 
  • Assistance to employees in filling out documents for the migration authorities;
  • Managing correspondence by answering emails and sorting mail;
  • Taking care of any ad-hoc requests whenever needed;
  • Assisting with HR Administration tasks (i.e. onboarding, HR data maintenance, migration procedures);
  • Organizing events for employees.
You are best for this role if you have:
  • At least 2+ years` experience working in an office setting;
  • High school diploma; Bachelor`s degree/vocational education in office administration or relevant;
  • Excellent written and verbal Polish and English language skills;
  • Knowledge of MS Office, Google Suite (Gmail, Google Calendar, Docs, etc.);
  • Excellent organizational and planning skills;
  • Outstanding communication and interpersonal abilities;
  • Ability to multi-task and prioritize projects;
  • Self-motivated with a positive and professional approach;
  • Helpful and proactive attitude
It would be ideal if you also have:
  • Knowledge of the financial sector and basic knowledge of Polish labor law;
  • Experience as a secretary or administrative assistant in a fast-paced office environment.
